Coffee Cart Rental in Seattle and Bellevue: What You Get

Looking to rent a coffee cart for an event around Seattle or Bellevue? Here's what a booking includes, what it costs, and how to pick the right setup.

Quick answer

When people search for a coffee cart rental around Seattle and Bellevue, they usually want a real espresso bar at their event without running one. A booking with us includes the cart, a professional barista, the full menu, cups and supplies, and travel within 30 miles of Auburn. Private events typically run $500 to $1,500, weddings $1,000 to $2,500, and corporate events are quoted to your headcount.

"Rental" is the word most people type, and it's a fair one. But I want to be clear about what it means with us, because it changes what you're paying for and what you have to do on the day. Here's how it works, from the first email to the last cup.

What "rental" means with us

Every Alongside booking comes with a professional barista who runs the cart. I know some companies drop off equipment and leave it to your friends to figure out the espresso machine. That isn't what we do. The cart is a commercial La Marzocco Linea Mini, and pulling consistent shots on it is a craft. So you book the cart and the person who knows it, and your only job is to enjoy your own party.

The cart arrives self-contained. It carries its own triple-filtered water, so the venue doesn't need a sink or a hose. We need one standard 120V outlet within 50 feet of where the cart will sit, a level route in, and a flat, covered spot if it's outdoors. The full list is in our guide on what a coffee cart needs from your venue.

What's included in the booking

The package is the same idea whether it's a baby shower in Renton or a product launch in Bellevue. You get:

  • The cart and a professional barista for your service window.
  • The full menu: lattes, cappuccinos, americanos and cortados, plus ceremonial matcha, chai lattes and hot chocolate.
  • Organic beans from Canyon Coffee, housemade vanilla, and syrups like caramel, lavender, white chocolate and strawberry.
  • Whole milk, oat milk and half and half, with decaf espresso on request.
  • Premium cups, lids and supplies.
  • Travel within 30 miles of Auburn, which covers Seattle, Bellevue, Kirkland, Redmond, Issaquah, Renton, Kent, Federal Way and Tacoma.
  • A certificate of insurance for your venue, at no charge, if they ask for one.

On top of that, every event runs on QR code ordering. Guests scan a small card, order from their phone, watch their drink move from "being made" to "ready," and get a text when it's done. It's the part people mention afterward, because nobody stands in a line.

What it costs

We publish the ranges, and I'd rather you see them before you ever email me:

  • Private events (showers, birthdays, parties): typically $500 to $1,500.
  • Weddings: typically $1,000 to $2,500.
  • Corporate events: a custom quote, sized to your headcount.

Three things move the number: how many guests you expect, how many hours you want the cart open, and where your venue is. Travel within 30 miles of Auburn is included, so for most Seattle and Eastside addresses it doesn't change your quote at all. For a deeper breakdown on weddings, see how much a wedding coffee cart costs in Seattle.

How many guests one cart can handle

One barista pours roughly 60 to 80 drinks an hour, depending on the mix. That's plenty for most private parties and small offices. If you're hosting more than about 100 guests, or you expect everyone to want a drink at the same moment, we recommend a second barista so the wait never builds. I'd rather you plan for that up front than find out at the peak. We go through the math in how many coffee drinks to plan for a wedding, and it applies to any event.

Questions to ask any coffee cart before you book

Whoever you hire, I'd ask these:

  • Is a barista included, and for how long?
  • What does the quote include besides the cart (cups, syrups, milk alternatives, travel)?
  • Do you need water or special power at the venue?
  • Can you send a certificate of insurance for my venue?
  • How do guests order, and what happens when ten people want a drink at once?

If a company can't answer them in one email, that tells you something. We're glad to answer all of them, and the answers are the same ones on this page.

How booking works

You send a date and a rough idea of the event. I reply within a day, usually the same day, to confirm whether the date is open. A 50% retainer and a signed agreement lock the date. Summer and early-fall weekends go first, so if you have one in mind, ask early. There's no charge to check a date.

Common questions

Can I rent a coffee cart without a barista?

Our packages always include a professional barista. The cart is a commercial espresso machine, and the barista is what keeps every drink consistent and the line moving, so we book them together.

Do you rent coffee carts in Bellevue, Redmond and Kirkland?

Yes. Bellevue, Redmond, Kirkland and Issaquah are all inside the 30 miles from Auburn that we include in every package, so there's no extra travel charge for them.

How far in advance should I book?

As soon as you have a date. Summer and early-fall weekends fill first, and we take one event at a time. A date check is free, so there's no cost to asking early.

How much space does the cart need?

The cart is 6 feet long and 2.5 feet wide. With room for the barista and for guests to collect drinks, plan on about a 6 by 8 foot patch of floor.

Do you provide a certificate of insurance?

Yes. We're licensed and fully insured, and we'll send a certificate of insurance for your venue at no charge. Just tell us the venue's name and address.
