Welcome to Alongside Coffee. By accessing our website or booking our mobile coffee services, you agree to be bound by these Terms of Service. Please read them carefully to ensure a seamless experience for your event.
1. Services
Alongside Coffee provides a premium mobile espresso bar service for weddings, corporate events, and private parties in the Greater Seattle Area. Specific details (active pouring hours, menu selection, and venue location) are outlined in a formal Service Agreement and Invoice at the time of booking. Some events may also include access to our digital event platform, Alongside Events, as described in Section 2.
2. Alongside Events — digital experience (optional)
Some bookings include access to Alongside Events, our own digital platform. Where included, it may provide: (a) a private pre-event planning link for the client to customize the bar (color palette, a welcome message, and signature drinks); (b) guest mobile ordering via a QR code or table card; (c) live order tracking and “order ready” notifications; and (d) a private post-event recap. These digital features are a complimentary enhancement to — not a replacement for — our core espresso service.
- Adequate venue connectivity is required. Guest mobile ordering, live tracking, and notifications depend on sufficient internet and/or cellular connectivity at the venue. Where a venue does not have reliable Wi-Fi or cellular signal, some or all of these digital features may be limited or unavailable, and we will serve guests using traditional in-person ordering at the bar instead. We will try to confirm connectivity in advance where possible, but we do not control and cannot guarantee venue network conditions.
- Not grounds for a refund. The unavailability or interruption of digital features due to venue connectivity, guest devices, carrier coverage, or third-party outages is not a deficiency in our core service and is not grounds for a refund, credit, or fee reduction — your espresso service continues unaffected.
- Provided “as is.” The digital experience is provided on a reasonable-efforts, “as is” basis; we do not guarantee uninterrupted or error-free operation.
- Guest participation is optional. Guests are never required to use a phone to order — in-person ordering at the bar is always available.
- Planning link. Any private planning link is provided for the client’s use; the client is responsible for keeping it reasonably confidential.
- Features may evolve. We may add, modify, or remove platform features over time as we continue to develop the platform.
Personal data processed through Alongside Events is handled in accordance with our Privacy Policy.
3. Booking & payment
- Retainer: Submitting an inquiry does not guarantee a booking. A 50% non-refundable retainer and a signed agreement are required to secure your date, booked first-come, first-served.
- Final balance: The remaining 50% is due no later than fourteen (14) days prior to the event. Bookings within 14 days require payment in full upfront.
- Pricing: Custom quotes are valid for 30 days and locked in once a retainer is paid. Travel outside our 30-mile radius (from Auburn, WA) is quoted prior to booking.
4. Order rates & pricing assumptions
Our per-guest pricing is calculated around a realistic 60% order rate of the projected guest count you provide. For a 300-person event, pricing, sourcing, staffing, and prep are built around ~180 drinks.
- Orders exceeding 60%: we reserve the right to charge an overage rate of $10 per cup beyond the 60% threshold, invoiced after the event (due within 7 days). We always keep serving your guests.
- Orders below 60%: no refund, credit, or rebate is issued — materials, staffing, and prep are committed in advance based on the full projected count.
- Projection changes: notify us at least 14 days ahead of material guest-count changes so we can adjust sourcing and staffing; increases may require an updated invoice.
5. Service pace & wait times
We specialize in handcrafted espresso beverages — each individually prepared by a trained barista on commercial equipment. This is not a self-serve or dispenser-based operation.
- Lines are expected as a normal part of a live espresso bar experience.
- Variable wait times vary by event size, order patterns, drink complexity, and menu.
- No throughput guarantee — we never sacrifice quality to move a line faster.
- Staffing options: a two-barista setup is available for larger events, quoted separately.
6. Cancellations & rescheduling
- Client cancellation: the 50% retainer is non-refundable. Cancellations within 14 days of the event are responsible for 100% of the invoice.
- Rescheduling: accommodated to the best of our ability with 30+ days’ notice, subject to availability; an admin fee may apply.
- Alongside cancellation: in the unlikely event we must cancel, we refund 100% of all payments, including the retainer — the limit of our liability.
7. Venue & setup requirements
- Power: a dedicated 120V, 15–20 amp circuit within 50 feet. We’re not liable for delays caused by tripped breakers or inadequate venue power; if power prevents service, payment is still due.
- Space & access: a flat, level 6’×10’ footprint; elevator or ramp for multi-story venues.
- Inclement weather: for outdoor events, the client provides overhead shelter to protect equipment and staff.
- Setup time: 1–1.5 hours of complimentary access before service for calibration and dial-in.
- Connectivity (for digital features): if you’d like to offer guest mobile ordering and live tracking through Alongside Events, the venue should have adequate Wi-Fi or cellular coverage in the service area. Please share your venue’s connectivity so we can confirm availability or plan for in-person ordering.
8. Liability & indemnification
- Allergies: our cart handles dairy, nut-based milks, and gluten; we cannot guarantee an allergen-free environment and are not liable for allergic reactions.
- Venue damage: we take the utmost care but are not liable for incidental damage during normal cart movement, or spills caused by guests.
- Limit of liability: our total liability shall not exceed the total amount paid for the event. We’re not liable for failures caused by circumstances beyond our control (force majeure), nor for interruptions to digital features (see Section 2).
9. Media & marketing
We may photograph and film the cart setup, custom menus, and general atmosphere for marketing, social media, and our portfolio. We respect guest privacy and won’t publish close-up portraits of individuals without permission.
10. Website & platform content
All content on this website and the Alongside Events platform is the property of Alongside Coffee and protected by copyright. You may not reproduce, adapt, or distribute any content without our express written permission.
11. Governing law & modifications
These Terms are governed by the laws of the State of Washington, USA. We may modify these terms at any time; changes are effective immediately upon posting.

13. Alongside AI assistant disclaimer
Our virtual assistant (“Alongside AI”) helps answer basic questions but is automated and may generate incorrect or incomplete responses.
- Logistical info, capacity limits, or menu availability provided by the AI must be verified with our team.
- Pricing and quotes: the AI cannot generate binding quotes; any price it invents is void.
- The only legally binding agreement is the official final invoice and contract provided by Alongside Coffee ownership.
